Withdrawal & Refund Policies
When a student officially withdraws and stops attending all courses or drops a class, he or she may be required to repay all or part of the financial aid disbursed to them, including loan funds. Students receiving federal funds may be required to repay aid determined to be "unearned."
Registrar's Office - This office is responsible for maintaining the student's academic record. Withdrawal and or dropping a class should be initiated with this office in order to document the official withdrawal date. This date determines the grades to be assigned to the student's record and or any additional documentation. The Bursar's Office and the FA Office use the official withdrawal or drop date to determine any additional charges or refunds and continued financial aid eligibility.
Academic Departments & Professors - Depending on the date of withdrawal, the student may not be required to contact these entities. However, it is best to inform academic advisors and professors of the student's intent to totally withdraw from CCSU or drop a class. They can provide the guidance and signatures required to document assigned grades and other academic notations.
Bursar's Office - This office matches the official withdrawal date with the University Calendar to determine if the student is due a credit or refund, or would incur an outstanding debt. When an outstanding debt is posted in a student's account a hold is placed to prevent further registration, transcript requests, etc.. When the debt is repaid or arrangments have been made to repay the debt, the hold may be removed. If the student does not contact the Bursar, the debt is referred to a collection agency.
Financial Aid Office - The U.S. Department of Education defines how a student's total withdrawal or dropping below six (6) credit hours may affect the financial aid awarded to a student. This office also uses the official withdrawal date to calculate whether the student is entitled to retain all, part. or none of the financial aid awarded and disbursed.
An FA administrator following the Federal Title IV guidelines, calculates the percentage of financial aid the student earned up to the date of withdrawal. The percentage is determined by counting days attended beginning with the first day of class and dividing that number by the total number of days in the term. Once the student has completed 60 percent of the term, he or she is considered to have earned all of their aid.
Repayment of Unearned Financial Aid - When the amount of disbursed unearned Federal Title IV aid has been determned, it must be repaid either by the school and or the student. The aid repaid by the school is charged to the student's e.Bill account at CCSU. The student needs to contact the Bursar's Office to make payment. For repayment of the unearned aid assessed to the student, the student must contact the lender to make repayment arrangements. The FA administrator provides the student a written summary of the actions initiated and the steps to be taken.
FA Credit Refund - Any financial aid credits in a student's account after all posted university bills have been paid will be refunded by check or direct deposit. Each semester the refund period begins the week after drop/add has been completed.
